Executive Assistant (Makati, Philippines)

The Executive Assistant provides support in all aspects of daily functions in business and personal matters of the company’s offshore Managing Partner.

 

General Skills:

  • Manage and organize the managing partner’s calendar and meetings

  • Manage and organize the managing partner’s mailbox

  • Create draft documents for a variety of purposes

  • Create PowerPoint presentations for internal meetings

  • Be the managing partner’s connection to teams in Manila and do follow ups

  • Provide status reports for the managing partner regarding teams and customers

  • Set up, prepare, and prioritize meetings as well as recording minutes

  • Remind the managing partner of what he promised during meetings

  • Review documents for the Managing Partner

  • Travel to Denmark, Middle East and/or other countries where the managing partner would need

  • Liaise with clients, suppliers and other staff

  • Organize all business and personal documents while managing daily calendar

  • Process all travel requirements and documents as well as book hotels and transportation for both business and personal trips

  • Manage events and handle all service providers

  • Other duties that may be assigned by the Management and Department Heads

  • Support adhoc activities done by business development

  • Maintain a high level of confidentiality

 

Qualifications:

  • At least 3 years of experience as a secretary or an assistant

  • Experience in handling projects

  • Strong communication skills, including written, verbal and presentation skills

  • Must have knowledge and proficiency in Microsoft Office Applications

  • Must be organized with excellent time management and prioritization

  • Great interpersonal, technological and multitasking skills

  • Can perform clerical and administrative tasks

  • Must be willing to work in mid shift (2-11PM) and flexible with work time

  • Must be able to travel abroad for work when needed
